Privacy and cookies
This notice explains how Promotional Directory handles information when you browse the site, contact us, sign up for the newsletter or use directory services.
Who is responsible
Promotional Directory is operated by Watts Digital Consulting Ltd, company number 14574775, registered in England and Wales. Registered office: #3042 275 New North Road, London, England, N1 7AA. Watts Digital Consulting Ltd is the controller of personal information used to run this website. For a privacy question or request, use our contact form and mark your message “Privacy”.
Messages
The contact form collects your name, email address, business details and message, plus the submission time, page address, IP address and browser information. Entries are stored in the website’s database and a copy is emailed to our mailbox so we can reply. Please do not send passwords, payment details or sensitive information. A contact enquiry is not a newsletter subscription.
Directory accounts, listings and claims
If you create an account or submit a listing, a correction, a removal request or an ownership claim, we process the contact and account details, listing information, evidence and messages you supply. Account and moderation records are stored in WordPress. Information meant for a public listing may be published after review; private contact details, claim evidence and ownership records are not public. Public business facts on listings come from the business’s own website. A named business contact can ask us to correct or remove personal information.
Supplier contact emails
For listings we compile, we may record a business email address published on the business’s own website and use it to tell the business about its listing and how to claim or correct it. We do not publish it as a contact field unless the business shows it publicly, and any business can ask us to stop.
Newsletter
If you sign up for the newsletter we store your email address, the time of sign-up and confirmation, and the page you signed up on. We send a confirmation email first and nothing else until you confirm. Every issue includes an unsubscribe link, and unsubscribing stops further emails.
Premium and payments
If you buy Premium or an extra, WooCommerce stores your order, billing details and subscription status so we can provide it, issue VAT receipts and keep accounting records. Card payments are handled by Stripe; we do not see or store your full card number. We keep order and invoice records for as long as UK tax law requires.
Why we use information
We use enquiries to reply and keep a record of the matter, and directory information to publish useful factual listings, review changes and prevent unauthorised claims. This is in our legitimate interests in running the directory, answering requests and protecting users. Account and purchase information is needed to provide the service you ask for, and some records are kept to meet legal obligations. The newsletter is sent with your consent.
Analytics and cookies
The site uses Google Analytics 4 to understand page use, visits and device and browser patterns. Analytics is on when you first visit. Choose “Reject analytics” in the cookie notice to turn it off, or use “Manage cookies” at the foot of any page to change your choice later. Rejecting analytics does not stop any form working. The site stores your cookie choice, and Google Analytics uses browser identifiers such as _ga cookies when enabled. Account, basket and security cookies support functions you choose to use.
What analytics receives
The analytics setup sends page paths rather than URL query strings, and Google Signals and advertising personalisation are switched off. It is not configured to send the contents of forms to Analytics. Google still processes technical information when your browser contacts its services.
Service providers
The website uses managed hosting administered through xCloud, Cloudflare for web delivery and security, Emailit to send emails, Google Workspace for our mailbox, Stripe for card payments and Google for Analytics. These providers process information needed for their functions.
International processing
Our providers operate internationally, so processing may take place outside the UK, including in Europe and the United States. Contact us if you need information about the transfer arrangements relevant to your data.
Storage and your rights
Form entries are kept until they are no longer needed to deal with the matter. Account, listing and moderation records are kept with the listing they relate to, and payment records for as long as the law requires. Depending on the circumstances you can ask for access, correction, deletion, restriction or a portable copy of your personal information, or object to how we use it, including the publication of personal information in a business listing, using the contact form. You can also complain to the Information Commissioner’s Office (ico.org.uk).
Changes to this notice
We may update this notice when the website’s functions or processing change. Last updated 26 October 2026.
